Estimate hotel bills including tax and fees
Enter nightly rate before tax, number of nights, rooms booked, tax percentage, one-time resort or cleaning fees, and how many people share the cost. Click Estimate for grand total, per-person share, and effective cost per room per night after tax.
Booking sites often show pre-tax rates; this tool closes the gap to what actually hits your card — critical for GST-heavy Indian hotels and Dubai tourism fees.
Field-by-field guide
| Field | Meaning | Tip |
|---|---|---|
| Nightly rate | Pre-tax room rate on booking portal | Use average if rates vary by weekday |
| Nights | Total paid nights | Checkout day is not a paid night |
| Rooms | Count of rooms reserved | Family suites still count as one room |
| Tax % | GST or VAT applied to room tariff | 12% common on mid-scale Indian hotels |
| Resort / cleaning fees | Flat fees not in nightly rate | Add tourism dirham in UAE manually here |
| People sharing cost | Who splits the bill | Can exceed room capacity if friends rotate beds |
Formula
Base = nightly rate × nights × rooms. Total = base × (1 + tax ÷ 100) + flat fees. Per person = total ÷ people sharing. Effective per room per night = total ÷ nights ÷ rooms.
Worked example: four nights in Goa for two
Beach hotel quotes ₹3,500/night before tax. One room, four nights, 12% GST, ₹500 cleaning fee. Two friends split equally.
| Line | Calculation | Amount (₹) |
|---|---|---|
| Base tariff | 3,500 × 4 × 1 room | 14,000 |
| With 12% GST | 14,000 × 1.12 | 15,680 |
| Plus cleaning fee | + 500 | 16,180 |
| Per person | 16,180 ÷ 2 | 8,090 |
| Effective / room / night | 16,180 ÷ 4 ÷ 1 | 4,045 |
Compare with Goa stay ranges and fold the total into the accommodation line of the trip budget calculator. For group villas with unequal rooms, split per-person results manually or use the split calculator.
Hotel estimate pitfalls
- Applying tax twice — enter pre-tax nightly rate only once.
- Ignoring extra guest charges or child breakfast add-ons — bump misc or fees.
- Using per-night total that already includes tax, then adding tax % again.
- Splitting by rooms instead of people when three friends share one triple room.
- Forgetting paid parking or valet — add to fees field.
When to re-estimate
Run again after coupon codes, loyalty free nights, or currency changes on foreign bookings. If you extend stay by one night, update nights only. Log deposits and balance payments in Trip Saathi so the group sees who fronted the card.
Comparing stay options beyond nightly rate
Hostels beat hotels on per-person math when People sharing exceeds room capacity — run the estimator with dorm beds as lower nightly rates and higher headcount. Serviced apartments with kitchenettes can drop your food line in the daily budget planner even if nightly rate looks higher.
Peak-season surcharges sometimes appear as separate ‘event’ fees on checkout — fold them into Resort / cleaning fees rather than pretending they do not exist. For split stays (two hotels in one city), calculate each block and add totals manually before entering the trip budget calculator.
GST slabs and invoice surprises
Indian hotel GST depends on declared room tariff bands — sub-₹1,000, ₹1,000–₹2,500, and above ₹7,500 carry different effective rates. If your quoted nightly rate crosses a slab boundary after discount codes, tax % in this tool may need manual tweaking to match the invoice.
Corporate travellers claiming reimbursement should screenshot this estimate alongside the booking confirmation; Trip Saathi receipt photos supplement tax paperwork at month-end.
Homestays without explicit GST may still charge cleaning cash — add to fees even when Tax % is zero. Compare per-person output with hostel dorm beds by dividing quoted dorm price by beds per room before entering nightly rate.
Comparing room types without spreadsheet chaos
Run the estimator twice: once for a family room and once for two doubles. The total often surprises groups who assumed “two rooms always cost double.” Extra-bed fees, child policies, and breakfast inclusion change the math. Screenshot both results into the group chat before anyone pays a non-refundable deposit.
For destination context, pair estimates with Goa, Jaipur, or Kerala nightly bands, then replace ranges with live quotes for your dates.
Taxes, resort fees, and checkout surprises
City taxes paid at checkout and resort fees billed separately from the OTA headline rate are the usual culprits. Add them in the fee fields even when the booking site buries them in fine print. If a property quotes “plus taxes,” assume 12–18% until you see the invoice — then re-run the estimator with the exact figure.
Business travellers reconciling stays should keep the estimator output beside policy caps from business travel expenses so upgrades stay personal, not accidental claim rejections.
