Transportation and accommodation are trip-level totals: the full train fare for everyone, or the entire homestay bill for all nights. Food is different — enter what one person might spend on meals and snacks each day. The calculator multiplies food by travellers and days automatically.
- Enter Travellers and Days first so daily food math scales correctly.
- Add prepaid quotes for Transportation (flights, trains, cabs to the station) and Accommodation (hotels, Airbnb, hostel beds for the whole stay).
- Set Food per person / day using local café and thali prices — ₹600–₹1,200 is common for mid-range Indian city breaks.
- Include Activities as a lump sum: safari tickets, museum passes, scuba, guided tours.
- Use Misc / shopping for souvenirs, SIM cards, laundry, and tips.
- Choose an Emergency buffer % — 10–20% covers fare hikes, extra nights, and medical cab rides.

Worked example: five-day Goa trip for four friends
Suppose four college friends plan five nights in Goa. Trains and shared cabs come to ₹12,000 total. A beachside guesthouse costs ₹15,000 for the group. Each person budgets ₹800/day on food (beach shacks, one nicer dinner). Activities — water sports and a spice farm — total ₹6,000. Misc and shopping allowance: ₹3,000. They choose a 15% buffer for monsoon delays.

Common mistakes to avoid
- Entering total food for the trip in the per-person daily field — this inflates the budget four- or five-fold.
- Setting buffer to 0% and then treating shopping money as an emergency when souvenirs appear.
- Mixing currencies (USD flights, INR stays) without converting first in the currency converter.
- Counting accommodation per night instead of the full stay — five nights at ₹3,000/night should be ₹15,000 total, not ₹3,000.
- Forgetting that activities might be per-person on vendor sites — multiply before entering the lump sum.
When to run the calculator again
Re-run after any quote changes: confirmed train tatkal, extra hotel night, or a friend dropping out (update traveller count). Stretching a tight budget without dropping the trip
If the per-person total exceeds what everyone can afford, adjust one category at a time rather than slashing everything. Lower food per day by ₹100–₹200 when you plan mostly hostel kitchens or included breakfasts. Shift activities from paid tours to free walking routes. Reduce misc before touching transport if tickets are already non-refundable.
Another lever is traveller count — a friend joining splits fixed stay costs but raises food and activities. Run the calculator twice: current headcount and optimistic headcount, then discuss in the group chat before anyone transfers booking money.
